
Dear AVS 71 Program Committee Member,
It is time for you to begin promoting the Call for Abstracts for the AVS 71st International Symposium and Exhibition (AVS 71) this September 21-26, 2025, in Charlotte North Carolina. The Call for Abstracts is now available online at https://avs71.avs.org/. The deadline is April 1, 2025.
You are requested to utilize the promotional tips and tools provided below early and often to promote to colleagues outside of the AVS, especially those in the local area. Please note that AVS already heavily promotes to our list of members/divisions/technical groups and past symposia and topical conference attendees (30,000+)—we are trying to reach new attendees who may not be on our existing promotional lists; we cannot do this without your assistance! In addition to these tips and tools, each topic has customized mini call banners to use in your outreach efforts.

Way to Improve the
Promotion Process
- Appoint a Promotions Chair to manage this process.
- Create a shared Google sheet and ask each committee member to include the names of at least 10 people who could be contacted. This can be done by topical area for larger topics or as a whole committee for smaller topics.
- Chair then checks for duplications and assigns people to committee members.
- Committee members then reach out to their contacts directly to solicit submissions. Don’t wait for late breaking! Push for more abstracts during initial programming!
- If possible, chairs should track responses. Note: Yvonne will be sending weekly updates on submission numbers.

Inform potential attendees about the benefits of attending:
Special Sessions & Invited Speakers
Highlight your special sessions, invited speakers, and even your committee members to potential attendees. Remind them about the friendly and multidisciplinary nature of AVS.
Awards & Travel Grants
Remind potential attendees about awards opportunities for your specific division/group/focus topic as well as the AVS Professional and Student Awards.
Exhibit & Special Events
Don’t forget to mention the equipment exhibit as well as all the other special events and networking opportunities during AVS 71.
Promote by E-mail, Print, Etc.
If everyone could convince five+ people to submit or attend that would double the numbers!

Please distribute directly to your colleagues, friends, and respective communities! If appropriate, you can send with personalized messages.
- Promote with Topic Your Specific Mini Call Banner and/or Generic Banners: Please continue to use the topic-specific mini call banners or the generic banners links on this page to promote with customized e-mails, social media posts, your e-mail signature, distribute flyers and/or add to your PowerPoint presentations, etc.
- Forward the Call for Abstracts E-mails: Forward this call for abstracts e-mail at https://conta.cc/4iuvivg (or any other AVS 71 e-mail you receive) to your colleagues.

Promote on Social Media
Social media is a quick and easy way to frequently highlight program content weekly to a mass audience and it allows others to share easily.
Take advantage of the AVS Social Media sites and post your session highlights and/or call details. Please do the same on any relevant social media sites you belong to and if you have started an AVS Division/Group/Focus Topic page, please highlight it there as well. If you have started such a page, be sure to let me know so that I can highlight your page on our AVS social media sites. Be sure to use #AVS71, tag @AVS_Members (for Twitter), @avs-members.bsky.social (for Bluesky), and highlight a particular topic, speaker, or session that will draw more attention.
